Microsoft Teams Tightens Controls on External AI Assistants and Meeting Bots

As companies adopt AI services for transcription, summaries and task tracking in Microsoft Teams meetings, external meeting assistants and bots have become common “non-human participants.” These tools may gain access to audio, video and sensitive business information. Microsoft is therefore tightening admission controls to balance collaboration efficiency with data governance and meeting privacy.

Microsoft announced a policy for managing external bots: any external bot or AI meeting assistant attempting to join a Teams meeting must first receive explicit approval from the meeting organizer and cannot enter without consent. As of July 20, 2026, the policy involved no financial amount and was set to gradually replace CAPTCHA verification. Microsoft has yet to announce the date for full rollout or the phaseout timetable.
